If I submit multiple order for incoming transfers over a period of a few days, when the new order is submitted, the names in that order take precedence over name in prior orders, so if the names in the first order were close to expiry date, they end up expiring before your fire up the transfer system for them.

You need to urgently change your transfer-in system so that the OLDEST orders get done first!
